Case Study #2: We want to include Everyone...but we
have a limited budget for this event
Our client was holding an annual meeting
in Irvine, California. There were
1,100 people that were scheduled to
attend the meeting. Our client
wanted to include audience response to
involve the entire audience, but was on
a budget that they could not exceed.
The task at hand was to propose a
solution that involved everyone in the
audience and stayed within the client's budget.
With 1,100 people, our client informed
us that they were seating people at
tables in rounds of 10. That meant
110 tables for the meeting. Since
the meeting was also a dinner meeting,
people would be sitting with others at
the table that they knew, which would
encourage discussion.
The solution
was to provide one keypad
for each table. After each
question, the keypad was passed
clockwise around the table. We
worked with our client to make sure we
had enough questions throughout the
meeting so that everyone had the chance
to answer 4-5 questions. Each
question allowed enough time for the
table to discuss and enter the answer on
their keypads. In the end, our
client got an accurate picture how
everyone in the audience understood the
content of the meeting. We were
able to involve the entire audience and
stay within our client's budget.
